Who we are and what this covers

This Privacy Policy explains how Mo Afrika Business Consulting and Projects (Pty) Ltd, trading as Legodi Future Technologies ("we", "us" or "our"), processes personal information when you use VelaTrack, including its Android application, website, GPS tracking platform and related services. We are based in South Africa and handle personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and other applicable law.

VelaTrack provides livestock, fleet/vehicle and security tracking. This policy applies to information processed for customer accounts and the devices or assets associated with them. A customer organisation may also determine how its authorised users use information in its account.

Information we process

  • Account and contact information: name, email address, phone number, customer or account identifiers, organisation details, user roles and login/account information needed to authenticate and administer access. The app keeps session and basic account information locally while you are signed in.
  • Tracking and device information: tracker or device identifiers and serial numbers, GPS coordinates, device timestamps, current and historical locations, movement/activity events, geofence definitions and events, tracker status and related device information such as battery or connectivity status where supplied by the tracker. RFID tag or gateway identifiers and detections may also be processed when those features are used.
  • Where location comes from: continuous tracking data generally comes from GPS tracking hardware or other devices assigned to a customer's account. It does not necessarily come from the user's mobile phone.
  • Optional phone-as-tracker feature: the VelaTrack interface contains an optional phone test-tracker feature. If you start it and the browser/platform grants location access, the feature can send the phone's coordinates, accuracy, speed, direction, timestamp and, where available, battery level to the service while sharing is active. You can stop it in the feature. The Android app's manifest does not declare a location permission, and the app does not request Android background-location permission for continuous phone tracking. This optional feature is separate from tracking hardware.
  • Service, support and agreement information: support messages, reports and service-agreement details. If you use electronic agreements, this may include legal name, South African ID number for an individual, company and registration details, VAT number, representative details, mobile number, email, physical and billing addresses, device serial/IMEI identifiers, agreement selections and acceptance records, signing details and typed or drawn signature.
  • Technical information: when you use the app or service, our systems may process IP address, network or request metadata, and diagnostic or error information generated while serving, securing or troubleshooting requests.

How and why we use information

We use information as reasonably necessary to provide and operate the service, including to:

  • create and administer accounts, authenticate users and manage customer access;
  • show current and historical device locations, movement and tracker status;
  • configure geofences and support livestock, fleet and asset monitoring;
  • identify security or theft risks and generate geofence, abnormal-movement, device or tamper alerts;
  • send customer alerts through channels enabled or configured for the service, which may include push notifications, WhatsApp, voice calls or email;
  • provide customer support, administer services and respond to requests;
  • protect the platform, troubleshoot faults and improve reliability; and
  • meet contractual, legal, regulatory and record-keeping requirements, and establish or defend legal claims.

When information may be shared

We do not sell personal information. Information may be made available to users authorised for the relevant customer account and to our personnel who need it to operate, secure or support VelaTrack. Customers are responsible for assigning appropriate access to their account users.

We may use service providers where needed to deliver the service, such as cloud or hosting infrastructure, mapping and geocoding services, communications and push-notification services, IoT/connectivity providers, security or response providers where a customer subscribes to that functionality, and payment or service-administration providers where applicable. Which providers receive information depends on the features enabled and service configuration; we limit disclosures to information needed to provide those services.

The customer app configuration uses Mapbox for map tiles and reverse geocoding. Map requests can disclose connection information, including IP address, to Mapbox; reverse-geocoding requests send the relevant tracker coordinates to obtain a place description. If another map layer is enabled, its map provider will receive the requests needed to display that layer. If you choose to share a report or open an external map or messaging application, the information you choose to share is handled by that application under its own privacy terms. We may also disclose information when required by law or when reasonably necessary to protect users, customers or the service.

Some service providers may process information outside South Africa. Where cross-border transfers occur, we take steps required by POPIA to ensure that the information receives an appropriate level of protection.

How long information is kept

We retain personal information only for as long as reasonably necessary to provide the service, meet contractual requirements, maintain legitimate business records, resolve disputes, protect the service and comply with applicable law. The period depends on the type of information and why it is held. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to lawful retention requirements and practical backup cycles.

How information is protected

We use reasonable technical and organisational safeguards designed to protect personal information against loss, unauthorised access, disclosure, alteration or destruction. Safeguards may include access controls, authenticated accounts, secure communications and operational monitoring. No method of transmission or storage can be guaranteed to be completely secure. Please keep login details confidential and notify us if you suspect unauthorised access.

Your privacy rights under POPIA

Subject to applicable law and any lawful grounds for continued processing, you may ask us to confirm whether we hold your personal information, request access to it, request correction or deletion, or object to or ask for restriction of certain processing. We may need to verify your identity and, for an organisation account, your authority to act for that account. A customer account administrator may also need to manage access for users in that organisation.

To exercise a right or ask a privacy question, contact us using the details below. You may also lodge a complaint with the South African Information Regulator. This policy does not limit any rights available to you under POPIA.

Request account or personal-information deletion

To request deletion of your VelaTrack account or personal information, use our Account Deletion page or email info@legodifuturetechnologies.co.za with the subject VelaTrack account and data deletion. Include the email address or phone number associated with the account and say whether you are asking to close the whole account or delete particular information. Do not email your password. You can submit a request without signing in.

We will verify the request and your authority where necessary, identify the relevant account information and respond as soon as reasonably practicable. We will delete or de-identify information that we are no longer authorised or required to retain. Some information may need to be retained where required by law, for a continuing contract, to resolve a dispute, protect the service or preserve another person's rights; where relevant, we will explain the reason. Disabling or uninstalling the app does not itself submit a deletion request or remove server-side records.

Children

VelaTrack is a commercial tracking and security service and is not designed or marketed specifically to children. If you believe a child has provided personal information to us in connection with the service, contact us so we can assess the request and take appropriate steps.
